A Coeur d’Alene reader wrote in with the following question:
"My question is that when I see text documents from others, I see a file location reference in the lower left corner of the document. I use Microsoft Word 2000. Is there a way to get the file location to automatically print in that, or other footer location? I have tried help screens but have not hit the right subject, I guess."
I thought this question was a good one and might be useful for a lot of other people. Especially for those who tend to forget where they put their files. If you include the full path in the document, you can’t lose track of the file. (Unless, of course, you lose the print out too — I can’t help with that.)
To add the file location, in Word you need to use a field. You can put it anywhere in the document. Because the question specifically mentions including it in the footer, the following steps explain how to put it there:
1. Choose View|Header and Footer
2. Click the Switch Between Header and Footer button on the Header and Footer toolbar to switch to the footer.
3. Once your cursor is sitting in the footer, choose Insert|Field.
4. Under Categories, click Document Information.
5. Under FieldName, choose FileName.
6. To add the full path, click the Options button.
7. In the Field Specific Switches tab, highlight p and click the Add to Field button.
8. Click OK to exit the Field Options dialog box and OK again to exit the Field dialog box.
And voila, your filename and path appears in the footer of every page. Click Close to exit Header and Footer view and return to the document.
